Terms of use
Last updated: 25/10/2026
These terms govern the use of Bistrova by the businesses that subscribe. By creating an account, the business accepts them.
1. The service
Bistrova is online management software for hospitality and food businesses: stock, purchasing, recipes and food cost, team, mise en place, reports and finance.
Bistrova is intended for professionals. Whoever creates the account declares that they act on behalf of a business and are authorised to accept these terms on its behalf.
2. Account and access
The business is responsible for keeping its account details accurate, for keeping its passwords and its team’s PIN codes safe, and for what the people it gives access to do.
It must tell us straight away at hello@bistrova.app if it suspects unauthorised access.
3. Free trial
Every new business gets a 14-day free trial. To start it, a card is saved on the secure page of our payment provider, Stripe. Nothing is charged during the trial.
Unless cancelled before the trial ends, the subscription starts automatically and the first payment is taken.
4. Prices and payment
The price depends on the chosen plan and is charged per active venue in the account. Prices are shown excluding VAT; VAT is added according to the business’s country and tax status (reverse charge between EU businesses where applicable).
Subscriptions renew automatically at the end of each period (monthly or yearly) until cancelled. Adding or deactivating venues is prorated on the next invoice.
The launch offer (−50 % on the yearly plan) applies to the first year only. Promo codes apply under their own conditions.
Payments are handled by Stripe. Bistrova never sees or stores card numbers.
We may change prices with at least 30 days’ notice; the change applies from the next renewal.
5. Non-payment
If a payment fails, we notify the business and Stripe retries. If payment is not settled, access may be suspended and the subscription cancelled. Data is kept for the period stated in section 7.
6. Cancellation
The business can cancel at any time under "Subscription". Cancellation takes effect at the end of the period already paid, and Bistrova can be used until then.
Periods already started are not refunded, except where the law requires it.
We may end or suspend an account in case of misuse or serious breach of these terms, notifying the business unless it is urgent.
7. The business’s data
The data the business enters in Bistrova belongs to the business. It can ask us for a copy at any time.
When a subscription ends, we keep the data for 90 days in case the business comes back or wants a copy; it is then permanently deleted, except what the law requires us to keep (such as invoices).
8. Processing data on behalf of the business
For personal data the business enters (for example about its team or suppliers), the business is the controller and Bistrova acts as processor, in accordance with Article 28 GDPR.
Bistrova processes that data only to provide the service and on the business’s instructions; binds anyone with access to confidentiality; applies appropriate security measures (encrypted connection, encrypted passwords and PINs, encrypted sensitive data, backups and access logs); uses only the sub-processors listed in the privacy policy; helps the business answer data subject requests; reports any personal data breach without undue delay; and deletes or returns the data when the service ends.
We only enter a business’s account to support it, when it asks us to or when needed to fix a problem. Such access is logged and visible.
9. Acceptable use
Bistrova may not be used for illegal purposes, to try to access other businesses’ data, to overload or attack the service, or to resell access without prior agreement.
10. Availability and support
We make reasonable efforts to keep Bistrova available and working well, but we do not guarantee uninterrupted service. There may be maintenance downtime, which we try to schedule outside peak hours.
Support is provided by email at hello@bistrova.app.
11. Liability
Bistrova is a management aid. Calculations of costs, food cost, payroll, social charges, taxes or reports are indicative: the business must check them with its own advisers (accountant, payroll office) and remains solely responsible for its decisions.
Except for fraud or gross negligence, our total liability is limited to the amount paid by the business in the 12 months before the event giving rise to it, and we are not liable for indirect damage such as loss of profit or customers.
12. Changes to these terms
We may update these terms. For significant changes we will give at least 30 days’ notice. If the business disagrees, it can cancel before the change takes effect.
13. Governing law
These terms are governed by Belgian law. The courts of Brussels have jurisdiction over any dispute, without prejudice to any mandatory rules that apply.
